This policy explains what personal information we collect when you contact us or use this website, how we use and protect it, who we share it with, and the rights you have over it. Please read it — especially section 4, which deals with your health information.
Prima Med China is a medical travel coordination service. We help international patients access hospitals and specialists in China and coordinate the practical side of their journey — appointments, quotations, interpretation, travel and follow-up.
We are not a hospital, a clinic or a medical provider. We do not diagnose, treat or advise on medical conditions. Diagnosis and treatment are carried out by the partner hospitals and licensed physicians we introduce you to.
For the purposes of applicable data protection law, the data controller responsible for your personal information is:
Prima Med China — medical travel coordination, Beijing, China
Registered address: provided on request
Registration number: provided on request — also stated in every written quotation and service agreement
You can reach us about anything in this policy at contact@primamedchina.com.
This policy applies to personal information we collect through:
It does not cover what a hospital, clinic or physician does with your information once you become their patient. They are separate organisations with their own privacy obligations, and we encourage you to ask them for their privacy notice.
We only ask for what we need to answer your enquiry and, if you decide to proceed, to arrange your care. Depending on how far things go, this may include:
| Category | Examples |
|---|---|
| Identity and contact | Name, email address, telephone or WhatsApp number, country and city of residence, preferred language, date of birth, gender |
| Enquiry details | The service you are interested in, your preferred city in China, planned travel dates, hospital preference, and anything you write to us in a message |
| Health information | Medical reports, laboratory results, imaging and scans, diagnoses, medication lists, treating physician notes, symptoms — see section 4 |
| Travel and admin | Passport details and visa information where a hospital invitation letter is required, arrival and departure dates, hotel preferences |
| Payment and billing | Records of payments made to us for coordination services. We do not ask for card numbers or bank credentials through this website or over chat. |
You are never obliged to give us information. But if you do not provide the details we ask for, we may not be able to answer your enquiry or arrange your care.
Health information is among the most sensitive categories of personal data. We treat it with additional care, and we only process it with your explicit consent.
Why we need it. To obtain a meaningful medical opinion and a written quotation for you, a hospital and its specialists need to understand your condition. We cannot arrange care without it.
What we do with it. We pass your reports and records to the specific partner hospital and specialist whose opinion you have asked for, together with the administrative information they need to schedule you. We translate documents where necessary. We keep a copy so your coordinator can follow your case.
What we do not do with it. We do not use your health information for marketing, advertising or profiling. We do not sell it. We do not share it with any hospital or specialist that is not relevant to your enquiry.
Consent. Where the law requires it, we ask for your explicit consent before we handle your health information, and before we send it to a hospital or specialist. You may withdraw that consent at any time by writing to contact@primamedchina.com. If you withdraw it, we may no longer be able to continue arranging your care — we will tell you if that is the case.
Our website is deliberately simple. It runs no advertising, no social media pixels and no cross-site tracking scripts, and it does not build a profile of you. We do use a cookie-free visitor counter (Cloudflare Web Analytics) that records page views, the referring page and an approximate country in aggregate — see section 6.
Like any website, the server that hosts it may keep standard technical logs — such as the pages requested, the date and time, the type of browser and device, and the approximate region derived from an IP address. These logs exist for security, to keep the site running and to diagnose faults. They are not used to identify or profile visitors, and we do not combine them with the information you give us.
We do not knowingly collect information about anyone under 18 through automated means.
This website sets no advertising, analytics or cross-site tracking cookies, and therefore shows no cookie consent banner. Our visitor statistics are provided by Cloudflare Web Analytics, which is cookie-free: the numbers are compiled from aggregate, anonymised request data, cannot identify you, and cannot follow you to other websites. Any cookies or similar storage that exist are strictly necessary to make the site function and to keep your session secure.
You can block or delete cookies at any time through your browser settings. Because we do not rely on tracking cookies, doing so will not affect how the site works for you.
| What we use it for | Why we are allowed to |
|---|---|
| Answering your enquiry and corresponding with you | Your request to us, and our legitimate interest in responding to prospective patients |
| Obtaining a medical opinion, treatment plan and written quotation for you | Steps taken at your request before entering into an agreement |
| Arranging appointments, invitations, interpretation, transfers, accommodation and follow-up | Performance of our agreement with you |
| Handling your health information and sharing it with the relevant hospital and specialist | Your explicit consent |
| Issuing invoices and keeping accounting records | Legal obligations we are subject to |
| Keeping our systems secure, preventing spam and fraud, and improving our service | Our legitimate interests, balanced against your rights |
| Contacting you later about your case or, where you have asked us to, about related services | Your consent, which you can withdraw at any time |
We do not sell your personal information, and we do not share it with advertisers or data brokers.
We share personal information only where it is necessary:
If our business is ever reorganised, merged or transferred, personal information may be transferred as part of it. We will tell you if that happens and this policy will continue to apply.
Medical travel is international by nature, and so is the handling of your information. Our coordination work is carried out from China, so if you contact us from another country, your information will be transferred to and processed in China. It may also pass through the systems of the service providers listed in section 8, which operate infrastructure in several countries.
Where the law applicable to you requires safeguards for these transfers — for example under the EU or UK General Data Protection Regulation — we put appropriate measures in place, such as standard contractual clauses with our service providers, and we restrict access to the people who need it. Where the law requires your consent for a transfer of health information outside your country, we will ask for it separately.
| Type of information | How long we keep it |
|---|---|
| Enquiries that do not lead to treatment | Up to 12 months, then deleted |
| Medical reports and records for patients we coordinate | For as long as your case is active, then up to 5 years afterwards — so we can answer follow-up questions and meet medical-record expectations |
| Financial and accounting records | As long as tax and accounting law requires |
| Security and server logs | Short periods only, typically a few months |
When the retention period ends we securely delete or irreversibly anonymise the information. If you ask us to delete your information earlier, we will, unless we are legally required to keep it.
We use encryption in transit (HTTPS) for this website, restrict access to personal information to the staff who need it for your case, and keep our systems and accounts under password protection. Access to your medical documents is limited to your coordinator and the specialists reviewing your case.
No system can be guaranteed to be completely secure. Please remember that ordinary email is not a fully secure channel. If you would prefer to send sensitive records a different way, contact us and we will arrange an alternative. If we ever become aware of a breach affecting your information, we will tell you and the relevant authority as required by law.
Please do not send us card numbers, bank passwords or other financial credentials.
Subject to the law that applies to you, you have the right to:
To exercise any of these, write to contact@primamedchina.com. We will respond within the period the applicable law allows, and we may need to confirm your identity first. You will not be charged unless a request is clearly unfounded or excessive.
Our services are arranged by and for adults. If you are contacting us on behalf of a child, or a child is to be treated, we ask that a parent or legal guardian makes the enquiry and gives consent. We do not knowingly collect information directly from anyone under 18.
Being straightforward about the tools we rely on is part of respecting your information:
Each of these providers processes information for its own service and is governed by its own privacy notice, which we recommend you read if you would like to understand their practices in detail.
The content of this website — including service descriptions, indicative prices and timelines — is provided for general information only. It is not medical advice and it does not replace a consultation with a qualified physician. Indicative prices are not offers and are always superseded by the written quotation issued for your case. Nothing on this website should be used to delay seeking professional medical advice.
If you are experiencing a medical emergency, contact your local emergency services immediately.
We will update this policy when our practices, our service providers or the law change. The date at the top of the page shows when it was last revised. If a change materially affects how we handle your health information, we will tell you directly — by email or through your coordinator — rather than relying on this page alone.
Questions, requests and concerns about your personal information should go to:

We would like the chance to put things right first, so please contact us before taking a complaint further. You also have the right to complain to the data protection authority in the country where you live, where you work, or where you believe the problem occurred.
